How to read an equipment quotation

Questions to ask about price, tax and delivery so you can compare offers on the same basis.

A quotation is only useful if you know what it covers. This guide lists the questions to ask so that two offers can be compared fairly.

An enquiry or a quotation request is not an accepted order. Nothing is agreed until you have reviewed a written offer and followed its acceptance instructions.

Ask what the price includes

Ask which currency the offer uses and which items each price line covers. Reference or converted amounts on a website are guidance only, so do not treat them as a delivered total.

  • Which currency is used?
  • Is the price per unit or for the whole package?
  • Are accessories and batteries priced within the package or separately?
  • How long does the offer stay open?

Ask about tax and import charges

Taxes and duties depend on where the equipment is going. Ask whether they are included, and if not, who pays them and roughly how they are worked out.

Delivered Duty Paid is only available where an offer expressly says so. If import charges remain your responsibility, the offer should explain them before you commit.

  • Are taxes or duties included in the total?
  • Will you need to arrange import clearance yourself?
  • Are there other unavoidable charges?

Ask about delivery

Delivery is assessed for the equipment and the destination. Ask what route is proposed, how batteries will be transported and what the dispatch location is.

Do not assume a time or a cost until the offer states it. If the dates matter to your project, say so in your enquiry.

  • Where will the equipment be sent from?
  • Which delivery route is proposed?
  • What happens if a carrier cannot take a battery?

Compare offers side by side

Put each offer in a simple table with the same rows: model, package contents, price, taxes, delivery, support. Gaps in a row are questions to ask, not details to guess.

Before you accept

Read the package, support terms and acceptance steps once more. If something you discussed is missing, ask for it to be added in writing.
